Medal designs call for 9th Asian Winter Games Harbin 2025

The Organizing Committee for the 9th Asian Winter Games Harbin 2025 (hereinafter referred to as the "organizer") recently announced the start of the public call for medal design proposals for the 9th Asian Winter Games Harbin 2025 (hereinafter the 9th Asian Winter Games) starting July 24, 2024. It welcomes individuals, legal entities and unincorporated organizations – hereinafter collectively referred to as "participants" – who are interested in contributing to the medal design to answer this call for entries and offer their creativity and expertise.

In addition to voluntary participants, the organizer will also invite specific participants who meet the requirements of the call for entries. All participants must comply with this announcement and the "Call for Medal Design Proposals for the 9th Asian Winter Games Harbin 2025" – see the attachment, hereafter referred to as the "Call for Entries Document" – and agree to sign related copyright agreements for the selected works during and after the call for entries process.

I. Participant eligibility

Any individual, legal entity, or unincorporated organization willing to participate in the medal design for the 9th Asian Winter Games and comply with this announcement, the Call for Entries Document – and all requirements of this call for entries – may participate individually or jointly and submit their design proposals. Participants must clearly indicate the name(s) of the author(s) in the submitted documents; for joint submissions, all co-authors must be clearly indicated.

The organizer or an authorized third party has the right to review the qualifications of participants. If any false statements are found, the organizer has the right to disqualify the participant at any stage of the call for entries.

General requirements for submissions

1. Medal design content for the 9th Asian Winter Games

1.1 Medal design

The design must incorporate the official emblem of the 9th Asian Winter Games, the Olympic Council of Asia's logo and the event's name in both Chinese and English:

English Name: The 9th Asian Winter Games Harbin 2025

1.2 Medal ribbon design

Each medal must be accompanied by a ribbon of appropriate length, be easy to replace, comfortable to wear and made from a durable and snag-resistant material. The ribbon should be securely edged to ensure the medal can be safely hung.

1.3 Medal box design

The medal box should complement the medal design, providing a fitting storage solution. It must be appropriately sized, lightweight and designed to protect the medal from damage. The material should be anti-oxidative, fingerprint-resistant and feature non-slip and safe edges.

2. General design requirements

Submissions must comply with the laws and regulations of the People's Republic of China and reflect the Olympic spirit, embodying Chinese culture and values. Designs should adhere to the specifications outlined in the Call for Entries Document and are encouraged to innovate beyond traditional concepts and forms.

All participants must ensure that the copyright – including but not limited to copyright, property rights, related rights and derivative development rights – of the submitted works belongs to the organizer and complies with confidentiality and anti-ambush marketing policies. If the organizer finds any individual, legal entity, or unincorporated organization using the submitted works or their iconic elements, or violating confidentiality and anti-ambush marketing policies, the organizer has the right to pursue legal responsibility.

II. Composition of submission documents

Design proposals should include the medal, ribbon and box designs, preferably submitted as a cohesive set. The submission package must contain:

1. The design proposal (including explanations and illustrations)

2. Signed documents such as the "Participant Commitment Letter," "Authorization Letter" and "Participant Information Form"

3. Proof of identity and other necessary qualification documents

Please refer to the Call for Entries Document for specific requirements.

III. Submission deadline and method

Submissions deadline: 5:00 pm (inclusive) on Aug 23, 2024. The submission time is based on the email receipt time.

Submissions method: Online submissions only. Participants must submit their designs via email as per the Call for Entries Document. No in-person or postal submissions will be accepted.

Participants must submit all required documents in the specified manner within the submission period; otherwise, the submission will be considered incomplete. No submissions will be accepted after the deadline.

IV. Selection and rewards

Any submission that does not meet the formal requirements of the Call for Entries Document may be deemed invalid by the organizer, and all submissions will not be returned.

Participants whose preliminary design proposals are shortlisted must modify their proposals as required by the organizer until the final review is completed.

Evaluation method

Shortlisting:

Up to 30 design proposals will be selected as shortlisted entries for the 9th Asian Winter Games, with each receiving an honorary certificate.

Preliminary review:

Up to 12 preliminary review proposals will be selected from the shortlisted entries, each receiving a prize of 10,000 yuan ($1,369.86) (pre-tax) and an honorary certificate.

Final review:

Up to six final review proposals will be selected from the preliminary review entries, each receiving a pre-tax prize of 50,000 yuan (pre-tax) and an honorary certificate.

Final selection:

One final design proposal will be selected from the final review entries, receiving a pre-tax prize of 200,000 yuan and an honorary certificate.

The prizes for the preliminary, final and ultimate selections are cumulative.

In addition to the above prizes, the organizer will not pay any other fees to participants. If the winning design proposal has more than one author, the participants must distribute the prize among themselves and any disputes are not the responsibility of the organizer. The prize will be awarded to the designated account of the winning participant after deducting taxes and upon receipt of all required documents.

V. Other matters

All specific times mentioned in this announcement are Beijing Time. Participants bear all costs incurred in this call for entries and the organizer is not responsible for any expenses arising from voluntary participation.
